Customer Relations Specialist

Department: Specialty & Industrial - New Hampton
Location: New Hampton, NY

PRINCIPAL PURPOSE: Provide customer relations to pro-actively secure orders from existing accounts; respond to requests from potential customers regarding product information; answer or find answers to product-related questions and advises sales force of such leads; interacts with Production facilities to insure order fulfillment; assist in monitoring shipments and delivery of orders. Provide support to VP/GM and Business Director. Assists Sales and Marketing in preparation of literature, trade shows, and exhibitions.

ESSENTIAL FUNCTIONS:

  1. Secure and process customer orders; prepare and print all essential support paperwork; confirm (as necessary) in Chempax.
  2. Maintain and monitor inventory/replenishment and distribution in three contract warehouses and Slate Hill warehouse. Prepare and forward customer paperwork as necessary.
  3. Maintain tracking of returnable containers to ensure timely rotation and adequate inventory for new shipments.
  4. Manage new and existing customers: providing pricing, obtaining completed forms and providing information as necessary. Work in conjunction with Sales personnel.
  5. Maintain daily communication with manufacturing plants on inventory levels, changes and production requirements.
  6. Work closely with ARC Transport Manager and ARC transportation carrier to ensure deliveries are scheduled for delivery as needed.
  7. Generate daily reports necessary to track the performance of the order fulfillment and sales aspect of the ARC business.
  8. Maintain customer master computer files.
  9. Follows all safety policies and procedures including the use of safety equipment (PPE) and equipment safeguards.
  10. Assist as backup to Industrial Customer Relations Specialist

As Marketing Support

  1. Assist Sales with data gathering.
  2. Create and maintain sales and marketing literature and reports utilizing Word, Power Point and other document processing programs. Work with printers to place orders as necessary.

As General Administrative

  1. Work with Accounts Receivable/Credit Coordinator to secure payments as well as resolve unauthorized deductions.
  2. Maintain division databases, such as audits/quality/mailing lists.
  3. Prepare and mail Hazard Awareness Seminar Certificates.
  4. Assist in preparation and mailing of price and other customer notification letters, etc.
  5. Prepare Excel spreadsheets as necessary. Provide Regulatory with volume usage requirements.
  6. Maintain appointment calendar, schedules, coordinate business meetings and or luncheons.
  7. Work with Regulatory to assist with layout of labels and other product documentation.
  8. Places orders for department supplies as needed.
  9. Constructively participate in project teams.

QUALIFICATIONS:

  • High School Diploma, prefer college degree.
  • 3-5 years experience in customer service and order entry
  • Excellent phone and people skills
  • Ability to communicate effectively both written and oral.
  • Ability to successfully handle multiple tasks and work in an organized and self-supervised manner.
  • Computer literate in database, Excel and Microsoft word processing programs
  • High level of initiative and ability to solve problems.
